Legal requirements for corporate events
Under the Health and Safety at Work Act 1974, employers have a duty to ensure the health, safety and welfare of employees attending corporate events — whether that's a conference, team building day or client hospitality event. This duty extends to agency workers, contractors and guests. The Management of Health and Safety at Work Regulations 1999 (Regulation 3) requires a suitable and sufficient risk assessment to be carried out before the event takes place.
For events held in hired venues, the Regulatory Reform (Fire Safety) Order 2005 places responsibility on the event organiser (as the 'responsible person' for the duration of the event) to ensure adequate fire safety measures, including escape routes, signage and evacuation procedures. The venue will have its own fire risk assessment, but the event organiser must ensure their specific event setup (staging, seating layout, delegate numbers) does not compromise safety.
If your corporate event includes outdoor or adventure activities (team building days involving climbing, water sports, or ropes courses), the Activity Centres (Young Persons' Safety) Act 1995 and HSE guidance INDG108 apply. Corporate events involving alcohol service, late-night entertainment or large delegate numbers may also require compliance with the Licensing Act 2003 and local authority event licensing requirements.
